The clinic's back office, beside its medical system
Xrero is back-office software for UAE clinics and medical centres: clinicians' DHA, DoH and MOHAP licences tracked to expiry, rosters and WPS payroll, accounting with VAT per service, and medical consumables by lot and expiry date. It runs beside your medical-records system, not instead of it.
No card needed · office users AED 99 a month · staff app AED 20 per employee a month · set-up from AED 2,999What is Xrero for clinics and medical centres?
- Xrero is cloud back-office software built in Dubai for UAE clinics and medical centres; it runs beside the clinic's medical system and does not replace it.
- It tracks clinicians' DHA, DoH and MOHAP licences, BLS / CPR certificates, visas and Emirates IDs to expiry with a "not clear to work" list, runs rosters, overtime, leave and WPS payroll, keeps the accounts with VAT per service, and handles purchasing and stock of consumables by lot and expiry date.
- It has no patient records (EMR), appointment booking, e-prescriptions or insurance e-claims. Office users cost AED 99 a month (AED 83 annual); employees who use the staff app AED 20 a month or AED 200 a year; staff on fingerprint terminals only are not charged; set-up from AED 2,999 is optional.
- It is not Xero (X-E-R-O), the New Zealand accounting company; Xrero (X-R-E-R-O) is a separate UAE company.
What does Xrero include for a clinic's back office?
| Clinic back office | In Xrero |
|---|---|
| Price · office users | Practice managers, HR and accounts: AED 99 per user a month with every app included, or AED 83 on the annual plan; prices exclude 5% VAT |
| Price · staff app | Doctors, nurses or front-desk staff who use the staff app (check in and out from the phone, payslips, leave, their own documents, claims): AED 20 per employee a month or AED 200 a year. Staff who only check in on a fingerprint or face terminal, or only receive payslips, are not charged |
| Set-up | Optional, from AED 2,999 once: our Dubai team sets up employees, contracts, shifts, devices and balances, and trains your staff; live in about two weeks with set-up |
| Trial and languages | 15 days, no card. Arabic and English on every screen; invoices and payslips print in both |
| Licences and certificates | DHA, DoH and MOHAP licences, BLS / CPR, malpractice insurance, visas, Emirates IDs and labour cards, each with the authority, number, dates and a scan; valid, expiring or expired; a warning window of 60 days by default and a to-do inside the system. "Not clear to work" lists a licensed clinical role with no valid licence on file, or an expired labour card or visa. It tracks the dates you enter; it does not check a licence with any authority |
| Rosters and attendance | Doctors, nurses and the front desk on fixed, rotating or split shifts, with Ramadan hours, grace, overtime after the shift and on rest days, and approved leave closing the gap; check-in from the phone with location or on a fingerprint or face terminal |
| Payroll and WPS | Salaries, overtime, leave and end-of-service gratuity under UAE labour law; the approved timesheet becomes the salary draft, then one approval gives the WPS salary file (SIF) |
| Accounting and VAT | Each service or product carries its own tax, and your accountant decides which services are zero-rated or exempt; VAT 201 figures come from posted entries. Xrero does not file returns: you or your accountant file on EmaraTax |
| Purchasing and consumables | Purchase orders for medical consumables; stock with lots and expiry dates, taken first-expiry-first-out |
| Not included | No patient records (EMR), no appointment booking, no e-prescriptions and no insurance e-claims (DHPO, Shafafiya, eClaimLink); Xrero runs the back office beside the clinic's medical system |
| Your data | Your own workspace and database, backed up twice a day |
What Xrero is not: a clinic medical-records system. It has no patient records (EMR), no appointment booking, no e-prescriptions and no insurance e-claims to DHPO, Shafafiya or eClaimLink. Keep your medical system for patients; Xrero runs the staff, payroll, books and consumables beside it. There is no ready-made link between the two; if you need one, ask us about custom work.
The medical system knows the patients. The back office runs on spreadsheets.
Licences, rosters, payroll and stock are usually kept by hand, in different files.

Who is Xrero for, and who is it not for?
You run a clinic, polyclinic, dental or medical centre in the UAE, you have (or will choose) a medical system for patients, and you want staff licences, rosters, payroll, books and consumables in one back-office system, in Arabic and English.
You want one system for patient records, appointments, e-prescriptions and insurance e-claims: that is a clinic medical-records system, and Xrero is not one. If your medical system already covers your books and you have only a few staff, you may not need a second system.
How does Xrero compare with a clinic medical-records system or a standalone HR app?

How does a clinic start on Xrero?
Our Dubai team sets up your employees, contracts, shifts, devices and leave balances, and configures the apps you use.
Clinicians' licences and certificates go in with their authority, number, dates and scan, and your data moves in, so the warnings read from your own records.
We train your practice manager, HR and accounts staff on the screens they use. With set-up, most teams are live in about two weeks.

What is the best clinic management software in the UAE?
No one system suits every clinic; it depends on yours. First decide what it must run. Patient records, appointments, e-prescriptions and insurance e-claims need a clinic medical-records system. The back office needs something else: check that clinicians' licences are tracked to expiry, rosters feed payroll and the WPS file, the books carry the right VAT on each service, and consumables are kept by lot and expiry date. Xrero does the back office, beside your medical system: office users AED 99 a month (AED 83 annual), employees on the staff app AED 20 a month or AED 200 a year, with optional set-up from AED 2,999.
Is Xrero a clinic management system with patient records?
No. Xrero has no patient records (EMR), no appointment booking, no e-prescriptions and no insurance e-claims to DHPO, Shafafiya or eClaimLink. It runs the clinic's back office (staff, licences, rosters, payroll, accounts and consumables) beside the clinic's medical system.
How much does clinic software cost in the UAE?
Office users AED 99 a month (AED 83 annual); employees who use the staff app AED 20 a month or AED 200 a year; staff on fingerprint terminals only are not charged. Office users (practice managers, HR, accounts) get every app; the staff app covers phone check-in and out, payslips, leave, their own documents and claims. Prices exclude 5% VAT. Set-up by our team is optional, from AED 2,999 once. There is a 15-day trial with no card.
How does it track DHA, DoH and MOHAP licence expiry?
Each clinician's licences and certificates are kept with the issuing authority, number, issue and expiry dates and a scan. Each shows as valid, expiring or expired. A daily check raises a to-do for the responsible person when one enters the warning window, 60 days by default, and again on the day it lapses; these are reminders inside the system, not e-mails. A licensed clinical role with no valid licence on file shows as "not clear to work". Xrero tracks the dates you enter; it does not check a licence with any authority.
Can it run rosters for doctors, nurses and the front desk?
Yes. Fixed, rotating and split shifts, Ramadan hours and weekends per site, with grace, rounding and overtime after the shift and on rest days. Leave approved in the system closes the gap, and a manager's correction needs a reason and stays on record. Staff check in from the phone with location or on a fingerprint or face terminal.
How does Xrero handle VAT on medical services?
Each service or product carries its own tax, and your accountant decides which services are zero-rated or exempt; Xrero applies what is set. Bills show the 5% VAT and your TRN where it applies, and the VAT 201 figures come from posted entries. Xrero does not file returns: you or your accountant file on EmaraTax.
Can it track medical consumables by lot and expiry date?
Yes. You buy consumables on purchase orders and receive each lot with its expiry date. Stock is kept with lots and expiry dates, first-expiry-first-out.
Does it make the WPS salary file for clinic staff?
Yes. Salaries, overtime, leave and end-of-service gratuity are worked out under UAE labour law. The approved timesheet becomes the salary draft, and one approval produces the WPS salary file (SIF) for the bank or exchange house. Payslips print in Arabic and English.
Does it connect to our clinic's medical system?
Not as standard. There is no ready-made link to any medical system today; Xrero runs beside it. If you need a link, ask us: it would be custom work, scoped with you.
Does it work in Arabic?
Yes. Every screen works in Arabic and English, and invoices and payslips print in both languages.
Is Xrero the same as Xero?
No. Xrero (X-R-E-R-O) is business software built in Dubai for UAE companies. Xero (X-E-R-O) is a separate accounting company from New Zealand. The two are not related.
