Payroll in the UAE: What Happens After You Press Pay (WPS and SIF)

The journey of one salary from an approved payslip to a protected wage, why banks send files back, and how to run a month that never bounces.

The short version

In the UAE a salary is not paid when you press Pay. It is paid when a SIF file leaves your bank and is accepted by the Wage Protection System. This article follows one salary through every stop, shows what the file the bank reads contains, and sets out a month-end calendar so the file never comes back.

Take a company of twenty-six people in Dubai. On the last working day of the month the accountant approves the payslips, exports the wage file, uploads it to the bank and goes home. Three days later the salaries have not landed, the phones are ringing, and the bank's reply says only that the file was returned. Nothing in that sentence explains why.

What is the Wage Protection System, in one paragraph?

The Wage Protection System (WPS) is the way private-sector wages are paid in the UAE. Instead of cash or an ordinary transfer, an employer pays salaries through a bank, an exchange house or another approved financial institution, and describes each payment run in a standard file. The institution forwards the payment data through the system, and the Ministry of Human Resources and Emiratisation (MoHRE) uses the record to confirm that each registered employee was paid the contracted amount on time. It protects the employee, and it gives the employer a clean, dated proof that the wages went out.

The rules around timing changed this year. Ministerial Resolution No. 340 of 2026, in force from 1 June 2026, makes wages due on the first day of the month, removes the old grace period, and treats an employer as compliant when at least 85% of total wages are paid by the deadline, with each employee receiving at least 85% of their entitlement. What happens after you press Pay? The five stops

Every salary in the UAE makes the same journey. It is worth knowing the stops, because the bank's one-line rejection could have come from any of them.

Notice where the work is. Stops 3, 4 and 5 are automatic once the file is right. Stops 1 and 2 are yours, and stop 2 is where a month is usually lost.

What is inside a SIF file?

A SIF is a plain text file. If you open one, it looks like nothing: a header line, then a block of near-identical lines full of numbers and commas. That plainness is the trap. There is no formatting to hide behind, so every character is load-bearing.

Two things surprise people the first time they look. The file carries fixed and variable pay as separate amounts, because that is how the ministry compares the payment with the registered contract. And the whole file is accepted or rejected together, so one row that fails takes twenty-five good rows with it.

Why do banks send files back?

The frustrating part of a rejection is how little it says. The reasons, when you find them, are almost always small and mechanical.

The honest rule: a file that was assembled by hand will eventually be rejected by hand. Not because people are careless, but because twenty-six rows of numbers look identical, and the one wrong character does not announce itself.

What does a month look like when the file never bounces?

Because wages are now due on the first, the month has to be finished before it ends. This is the calendar that works for most small and medium employers.

The whole calendar rests on one thing: that the payslips, the accounting entries and the bank file are produced from the same run, once, and checked before anyone uploads anything.
